Community art submission policy

Purpose: Let fans and artists share Free Void Flotilla–inspired art with us for community spotlight and promotion, while they keep ownership and get credit and a link to their site.

What we accept

• Original art inspired by Free Void Flotilla (ships, crews, scenes, posters, 2D/3D renders, photos of painted models).
• We prefer human-made art. We do not invite or accept straight AI-generated submissions.
• Light AI-assisted tools used only for routine edits of human-made work (for example photo cleanup) may be considered if clearly disclosed; the creative work itself must be human-made.
• We may refuse any submission without giving a reason (quality, brand fit, legal risk, NSFW, hate, AI policy, or unclear rights).

What you keep / what you grant

• You keep copyright in your work.
• By submitting, you grant Aeon Eclipse Games a non-exclusive, worldwide, royalty-free licence to:
• post and reshare the work on our social media, website, newsletter, Discord, and similar promotional channels;
• crop or resize for those channels;
• credit you as below.
• This licence does not let us sell your art, put it in paid products, Kickstarter reward tiers, or print runs, or claim it as official product art, unless we agree that separately in writing.
• The licence is for promotion of Free Void Flotilla / Aeon Eclipse, not for transferring your IP to us.

Credit and your website link

• Every post we make of your work will include your name or handle and, if you provide one, a link to your website or portfolio.
• Preferred credit line: Art by [Name] — [website URL] (community submission; not official product art).
• If light AI-assisted editing was disclosed, add: AI-assisted as stated. Straight AI-generated work is not accepted.
• Providing a link is optional for you, but we encourage it so your audience can find you.

Honesty rules

• You confirm you made the work or have the right to submit it, and it does not copy another artist’s or company’s protected IP beyond fair fan-use of Free Void Flotilla characters/ships as allowed by this invitation.
• Do not submit straight AI-generated work. If you used light AI-assisted editing on otherwise human-made work, say so.
• No NSFW, hate, or defamatory content.
• If you are under 18, a parent or guardian must submit on your behalf.

How we use it (and how we will not)

• Yes: social posts, site galleries, newsletters, “community spotlight,” painting challenges.
• No (without a separate deal): selling the file, STLs as paid products, official rulebook/box art, Kickstarter rewards, or implying the piece is official Aeon Eclipse product art.
• Community / AI promotional packs we publish ourselves stay clearly labelled and separate from official models.

Removal

• Email us to ask us to stop using a piece in future posts. We will do that promptly.
• We may leave already-published posts up where platforms make full deletion impractical; we will not reuse the piece going forward.

Contact

• Submit via the channel we publish (form, email, or Discord). Include: your name/handle, optional website URL, short title, confirmation the work is human-made (and any light AI-assisted editing disclosed), and confirmation you agree to this policy.

Our position on AI

Aeon Eclipse Games is a small independent studio in the UK. It's run by one person, supported by human playtesters, helpers and content creators who share our love of the hobby. We believe in being open with our community about how our games are made, including where we do and don't use artificial intelligence.

Where we use AI. We use AI as a tool, never as a replacement for human creativity. It helps us build free resources for our players, such as our companion app and other material we don't charge for. It also helps with the day-to-day running of a one-person business, like admin, organisation and drafting. For a studio of our size, we think this is a reasonable and responsible use of the technology.

Where we never use AI. We will never use AI to create illustrations or artwork, or to fully or partly generate any piece of art or image. All our artwork is made by people.

Photo editing. We may use AI-assisted photo editing software for routine adjustments to our own photographs, such as cleaning up images for our website or store. This never changes the fact that a person made the work in the image.

Our rule. If we charge money for it, a human is behind it. If it's artwork, a human made it. And we will always be as open and honest as humanly possible with our customers and fans.
